Access Services Evening Associate

Reporting to the Evening/Weekend Supervisor, the Access Services Evening Associate is a member of a collaborative team that connects the Mount Holyoke Community to the many information resources… available to them virtually and in the library. As a member of the Access Services department within Discovery & Access (DnA), this person contributes to the teams work of providing circulation services, print and electronic course reserves, stacks management, library billing, library material purchasing, and cataloging services for LITS. This individual performs a wide variety of library public service duties, and strives to provide excellent customer service. This is a full-time, benefited position.
During core academic periods, this position works an evening shift on Tuesday through Saturday (1:30pm – 10pm). Schedule adjustments will be required during breaks and summer months, or as the work of the department requires. During finals when the library is open 24/7, this position may be required to work extended hours. The work of this position takes place primarily onsite. Primary Position Responsibilities Works at the on-site Circulation Desk approximately 15 hours per week, providing excellent customer service while responding to questions in person and virtually and serving as shift lead.
Performs shared Access Services responsibilities such as checking library materials in and out, responding to patron inquiries and registering new patrons, processing requests for library materials, running reports using library system software, maintaining assigned stacks floors, and collecting circulation statistics. Furthers the College’s diversity, equity, and inclusion (DEI) goals by engaging with colleagues to create a welcoming, inclusive, accessible, and user-centered environment in which a diverse population of students, faculty, and staff can thrive.
Oversees approximately 15 student workers during Circulation Desk shifts, and works closely with one student supervisor traditionally assigned to library billing support tasks. Assists with training and evaluation of student workers. Responsible for all functions related to library bills and fines, including processing bills from the library services platform for lost and/or damaged materials, transmitting bills to the Colleges Financial Services department and the Five College libraries, responding to patron billing questions, and convening/facilitating meetings of the LITS Fine Appeals Committee.
Responsible for all functions related to print and ebook library course reserves, including administration of the librarys course reserves software, input of course data retrieved via my.mtholyoke, processing physical materials for reserve, creating digital files from a variety of source materials following best practices, collaborating with 5C colleagues to facilitate consortial loans of materials needed for course reserves, and communicating with faculty regarding the status of their course reserve requests. Represents library reserves services in conversation and collaboration with multiple constituencies.
Serves as a key faculty contact and communicates library reserves policy in a way that allows faculty to best understand the librarys goal to both provide students with essential materials and ensure bibliographic integrity. Collaborates with LITS colleagues in Research & Instruction regarding faculty needs and concerns of material copyright. Trains and oversees student assistants in physical course reserve workflows and in the production of high quality digital images for use as electronic course reserves. Assists with pre-order, receipt, and copy cataloging workflows for physical and ebook reserves purchases; compares bibliographic record against ebook in hand and revises as necessary; creates/updates/closes out orders and invoices.
Participates in LITS, College and Five College committees, and engages in other professional activities related to the duties of the position, occasionally requiring travel. Attends and contributes to major campus-wide or LITS sponsored events, which may be held at night, on weekends or holidays, and which are part of every employees core responsibilities. Contributes to a continuous process of assessment to ensure DnAs success in advancing the Colleges evolving goals in light of pedagogical, information, and technology changes. Seeks to improve library services, incorporating an understanding of the needs of structurally disadvantaged groups. Regularly assists DnA colleagues as needed (e.g. acquisitions support), and participates in departmental projects related to record and collection maintenance. Performs related duties as assigned.
Required Education and Experience Two years of experience working in a customer-service role in a user-focused organization Enthusiastic customer service orientation with a record of progressively-responsible experience related to duties and responsibilities of the position Ability both to work as a team member and to work independently in the weekend/evening environment when professional colleagues are not available Evidence of supervisory potential Basic knowledge of general office procedures, and accounting principles, with advanced Excel skills Excellent oral and written communication, organization, and problem-solving skills, as well as the ability to effectively convey technical information to a non-technical audience Flexibility to accept, manage and incorporate change and the ability to manage multiple tasks and priorities simultaneously and effectively in a fast-paced environment Creativity, with a passion for supporting a collaborative work environment.
Demonstrated ability to work effectively with a diverse group of faculty, students, administrators, staff, and others Ability to maintain a professional and tactful approach in all interactions, ensuring confidentiality and an individuals right to privacy regarding appropriate information Physical Requirements Employee operates office equipment and computers to perform essential duties and responsibilities. Employee frequently communicates in person and by telephone. Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Employee completes tasks in the library stacks, which includes reshelving materials, shelf-reading for order, and material shifting.
